Payment Policy

Deposits & Payment

Deposits

  • Deposit are 30% of the total amount - for bookings made 45 days prior to your arrival date in Vietnam. 
  • Deposit are 50% of the total amount – for bookings made 30 days prior to your arrival date in Vietnam.
  • No deposit but full payment must be completed instantly – for bookings made 15 days prior to your arrival date in Vietnam.

We accept deposit payment by wire transfer, credit card authorization letter, online payment via Paypal or through Western Union Global Transfer.

Full payment

Your punctual full payment is strictly required to secure your reservation.
For all reservation more than 30 days prior to your arrival date in 
Vietnam: Full payment must be completed at least 15 days prior to your arrival date in Vietnam. Otherwise we will cancel your reservation by e-mail notice.

Payment methods

You can make payment for us by one of the following payment methods:

  • Online payment through Paypal: We strongly recommend online payment through Paypal which is safer, easier, faster and free for you! Plus, when you pay with Paypal, you do not expose your credit card number to us. Online payment is the best way to ensure that you pay us and we get paid instantly.
  • Wire Transfer (bank transfer): subject to bank service charge and it may take more than 14 days to get your payment.
  • Visa/Mastercard/American Express/JCB credit card payment authorization by fax: subject to 4% service charge and it may take more than 14 days to get your payment
  • Cash: either we come to your address in Vietnam or you come to our offices. We do not accept personal checks.

Once you send the full payment, you should inform us by e-mail about the payment details, which will help us to check the payment due and secure your reservation for your benefit and interest. If we do not receive the full payment as we expected or we have reasons to believe that your payment is delayed and fraudulent, we reserve the right to cancel your reservation, and the cancellation letter will be sent to you by e-mail properly. We are not responsible for any loss or inconvenience to you if you fail to access and view the cancellation letter.
Should you instruct your credit/debit card company to "charge back" any payment(s) properly due from you in respect of your booking, we will charge you an administrative fee of USD20 per incident and associated costs. We further reserve the right to cancel your booking and/or take legal action against you for all outstanding payment(s)

Changes

We try best to not have to make any changes to your tour itinerary, howerver we sometimes do need to make changes based on the local situation. We reserve the right to modify the itinerary of your tour if air schedule or surface transportation changes, and/or events beyond our control make such alterations necessary.
If you have already booked with confirmation letter from us, we will let you know as soon as possible. We may offer you hotel/flight/sightseeing program alternatives in the same or higher standard if the original service is not available.

Prices & Fluctuation

Since prices represent low season twin share prices (unless otherwise clearly stated) and include all government levies and airport taxes as at the date of publication unless otherwise indicated. Please note that these levies and taxes are subject to change. Additionally, due to the fluctuation of currency, regrettably currency surcharges may be necessary. 365 Travel will without guarantee try to give clients who have paid deposits a grace period to pay in full in order to avoid any surcharge. However, the best way to avoid surcharges is to pay in full as soon as possible.

Cancellation & Refunds

All cancellations of confirmed reservations are subject to a $20 per person administrative fee.

Cancellations will be charged as follows:

  • 60 days before arrival: No cancellation charge. We Guarantee 100% Money Back. 
  • 30-59 days before arrival: 5% cancellation charge. 
  • 15-29 days before arrival: 10% 
  • 8-14 days before arrival: 40% 
  • 7 days before arrival: 100 % 
  • No show: 100%

The letter must be signed by the lead name on the booking, and once we receive it, you should expect to receive a cancellation letter within 24 hours. If you do not, then please contact us to ensure your letter has been received.

In case we cancel your confirmed reservations,

we reserve the right to cancel your reservation if we have reasons to believe that your payment condition and/or health conditions may affect us to carry out the tour arrangements. We will remind you immediately and continuously about the payment status for the reserved services by e-mails or fax. We are not responsible for any inconvenience or loss caused by the cancellation.If we cancel your reservation after receipt of your full payment, we will refund full payment received within 15 days.
Please kindly understand that your co-operation for punctual payment will not only protect your reservation and ticket, but help us to serve you and others efficiently and smoothly.

Errors & omissions

We reserve the right to correct any errors in rates quoted or calculated for any service, with immediate effect. We will use our reasonable endeavors to notify you of such corrections.

Governing Law

Any controversy or claim arising out of or relating in any way to these Terms of Services, to the Responsibility Clause, to the brochure, or any information relating in any way to the trip, or to the trip itself, shall be settled solely and exclusively by arbitration in Vietnam.

We reserve the right to modify or rescind this Terms of Services in whole, or in part at any time with or without notice.
